General Description: Tolin Mechanical, an established, well recognized and respected HVAC service contractor, is looking for an experienced Service Coordinator to join our Mountain Branch . We are seeking a candidate who meets the qualifications listed below. We have a solid team of experienced and respected technicians. Our business continues to grow, and we are looking for another solid Service Coordinator that is interested in a long-term position and who will fit well into our team. The Service Coordinator provides support to service operations, helping to ensure that all contractual commitments to the customer are met in a timely, high quality, and cost-effective manner. They work to maintain the highest level of customer satisfaction possible, exceeding customers’ expectations. Tied into the overall team picture, Service Coordinators help to ensure that financial objectives are redeemed through efficient and effective coordination. Primary Duties/Responsibilities:

Quick Quotes: Assist Managers with creating Quick Quotes and obtaining parts, materials or equipment, cost, and availability as necessary.

Service Quotes and Projects: Responsible for generating QWO’s and booking Project #’s once a quote has been approved. Complete the booking package and assign the QWO or Project to a designated service/facility group or technician. Procure parts, materials, equipment or subcontract cost and availability and issue Purchase Orders. Track PO’s to ensure timely communication with management, field and logistics personnel regarding shipping, ETA’s, receipt and deliveries.

Billing Panel: Responsible for monitoring and expediting assigned Billing Panel needs/questions by interfacing with CSR’s, AR, AP personnel, and technicians to complete and close work orders and to address all purchase order, truck stock, unbilled material, committed costs and labor questions. Seek manager approval as necessary or for cost considerations ≥ $250.

Open PM’s: Assist CSR’s, manager, and technicians with Open PM work orders to prioritize and expedite scheduling. Track open PMs on a weekly basis to ensure timely completion within ≤ 60 days. Assist technicians with large PM material orders and track as necessary.

Open WO’s: Assist CSR’s, manager, and technicians with Open T&M, QWO work orders to expedite scheduling. Track open work orders on a weekly basis to ensure timely completion as necessary.

FAC and Service Team Coverage: Assist CSR’s, managers, engineers, and technicians to ensure proper coverage as necessary. Assist with maintaining the FAC Coverage and service technician PTO calendars.

Facility Annual Work Orders: Responsible for creating annual non-billable work orders.

Facility Tasking: Responsible for printing and delivering monthly facility tasking. Track and electronically file all completed Facility tasking.

Tasking: Responsible for creating tasking hours for new contracts.

SPR’s: Assist with SPR’s as directed by a Service Manager.

Customer Account Notes: Assist with updating location or agreement CSR Notes, customer contact information, email addresses, phone numbers, and primary/secondary technician assignments as necessary.

Inventory Adjustments and Reconciliation: Assist with posting inventory to service calls and reconciling year-end inventory.

After-Hours Schedules: Responsible for creating and communicating after-hours schedules for service technicians.

Objectives/Goals:

Foster and maintain internal company relations.

Develop and maintain external relations with customers and vendors.

Promote Customer experience and satisfaction.

Obtain competency in all field disciplines and activities.

Provide administrative, accounting, and sales support.

Materials and equipment procurement.

Subcontract administration.

Work order scheduling.

Required Skills/Abilities:

Education and Experience:

Over 18 years of age

High School diploma or GED

Minimum 1-3 years in HVAC or facility service-related business preferred

Familiarity with HVAC/Facility Service business

Strong written and verbal English skills

Valid driver's license with driving record in good standing

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.

M ust be able to lift up to 40 pounds at times.

Compensation & Benefits:

Average Starting Rate: $20.00 - $25.00 per hour. Combined experience, education, skills and knowledge will be taken into consideration.
